Quality Travel TRAVEL SERVICES CONTRACT

Thank you for choosing Quality Travel to assist you in your vacation planning. We use trusted suppliers to offer you the best value for your hard-earned dollars and create a detailed final itinerary to ensure you a memorable and smooth vacation. Vacations arranged through Quality Travel offer peace of mind and high-quality service every step of the way.


This contract for Travel Booking Services is hereby effective and binding on the date it is signed by one of the parties traveling and/or responsible for payment.


OUR RESPONSIBILITIES

Quality Travel offers retail travel services to customers that are provided by separate and independent vendors of travel services. Quality Travel does not operate, control, or otherwise provide the services of the independent travel vendors. Hence, the customer agrees that Quality Travel acts only as an agent for the client in acquiring transportation, hotel accommodations, tours, sightseeing, and other privileges or services for the client’s benefit. Quality Travel shall never be held responsible for any loss, accident, injury, delay, defect, omission, or irregularity that may occur or be occasioned, whether by reason of any accident, negligence, closing or default of any independent company or persona engaged in or responsible for carrying out any of the arrangements or otherwise in connection therewith. It is highly recommended that travelers purchase a travel protection plan.


OUR PROFESSIONAL SERVICES

Quality Travel agrees to provide services and/or professional recommendations as follows:


  1. Pre-planning - Qualifying what the clients' needs are.
  2. Planning - Planning your vacation will involve a significant amount of time. As a travel experts, we consider your lifestyle, travel goals, travel history, and your special requests when developing your custom itinerary. We research a number of hotels, tours, and flights to meet your specific needs and desires. Thus, a $200 fee will be implemented if a trip requires planning without using a vendor.
  3. Booking - We manage all travel portfolio details such as deposits, payments, invoicing, and room allocation details.
  4. Confirmation/Pre-Departure - We will create a detailed final itinerary, all required travel documents, and any desired changes
  5. While Traveling - We will handle any required changes with booked suppliers.
  6. Post Return - We will follow up to hear more about your experience with us and our suppliers.


SUPPLIER QUOTES AND PRICING

Availability and price quotes are applicable to the date and time at which they are requested and cannot be guaranteed until reservation is deposited and/or paid in full. Quality Travel will ensure client receives quotes, deadlines, and deposit, refund and cancellation details within a timely manner to make financially prudent travel decisions.


Quality Travel will make every effort to request that suppliers honor and uphold the price as originally quoted; however, under certain circumstances, additional costs by a supplier or government may be imposed due to an increase in cost for one or more of the travel components, which is the responsibility of the customer.


If travel is outside of the U.S., some components of the quotes are from foreign suppliers. Customers must note that currency fluctuates daily with exchange rates, and international payments may carry a foreign traction fee, which is the responsibility of the customer.


CLIENT RESPONSIBILITIES

  • The client agrees to the following by checking the box on our form:
  • Agrees to be attentive and responsive to adviser communications with the understanding that some information may be time-sensitive, which may affect pricing.
  • Agrees to make payments by the stated deadlines.
  • Agrees to take responsibility for completing travel-specific duties, such as, but not limited to, visas and/or vaccinations.
  • For group bookings- the client agrees to encourage friends/family/colleagues/fellow travelers to make reservations exclusively through Quality Travel for group rates and added benefits.
  • Give due diligence to relevant travel warnings.
  • Provide Quality Travel a method of contacting traveler in the case of an emergency.
  • Agrees to let Quality Travel know if any accommodation condition or services are unsatisfactory during this travel.


* Once purchased, air transaction prices will not increase, except for potential charges that result from government-imposed taxes or fees, seat assignments, fees for baggage, and applicable fuel surcharges. You consent to pay for such changes and authorize Quality Travel to charge your credit card for such additional amount, albeit rare.


***Suppliers reserve the right to increase prices to cover increased costs, fuel surcharges, tariffs and taxes, and to reflect fluctuations in foreign exchange markets


Quality Travel Cancellation Fees:

If a client cancels after initial deposit, a $50 per person cancellation fee will apply if client is re-booking the trip at a later date.

If a client cancels after the initial deposit, a $100 per person cancellation fee will apply if a client is NOT re-booking the trip at a later date.


**Note: Quality Travel cancellation fees are separate from the supplier’s cancellation fees. Supplier policies regarding cancellation fees will be relayed in your trip proposal. Cancellation fees must be paid in order for Quality Travel to move forward with cancellation of trip components.


CLIENT IDENTIFICATION AND SAFETY

The client must provide correct legal names and dates of birth that match identification to be used for travel (i.e., Passports/ Driver’s Licenses). Name changes are not permitted on airline tickets in any circumstance. Quality Travel is not responsible for costs incurred by incorrect information provided by clients for travel planning, including reservations and airline tickets. Please double-check that we have all the information correct prior to authorizing payment. Once payment has been authorized, any errors become the responsibility of the client.


Travel documents, including passports, visas, REAL-compliant ID, and health/vaccination certificates required, are your responsibility. The name, gender, and date of birth must match the information listed on the airline ticket(s) and booking records. Valid passports are required for all international destinations (outside of the United States), and the expiration date should be at least six months following the return date of your trip. Some countries require that your passport have two to four blank visa/stamp pages. Some airlines will not allow you to board if this requirement isn’t met. Where visa and vaccination records are required, please note that even when a visa is issued, a traveler may be denied entry since each country’s local immigration officials make the final entry decision. Several factors, including past criminal record, may contribute to the decision of the local immigration official(s). Should a visa not be issued, Quality Travel is not responsible for lost payments made toward contemplated trip. However, Quality Travel will make every effort to assist with re-routing the client.


PAYMENT RIGHTS AND RESPONSIBILITIES/CLIENT REFUNDS

Client understand and agrees that Quality Travel’s fees are nonrefundable and nontransferable. Client understands that travel components are refundable only based on individual supplier policy.


Client understands that for any refunds that may be due to them post cancellation, Quality Travel will assist with client receiving refunds from supplier, but shall not be held liable in any form for unpaid supplier refunds.


Client understands that supplier prices change constantly. Quality Travel assumes no responsibility if price lowers after travel arrangements have been confirmed, paid in full, or ticketed. 


TRAVEL PROTECTION

Quality Travel is not an insurer and does not have liability for any coverage amounts. As a travel retailer, Quality Travel is not qualified or authorized to answer technical questions about the benefits, exclusions, or conditions of any of the insurance coverages in the plan or to evaluate the adequacy of the client's existing insurance coverage. Quality Travel and its employees may offer and disseminate travel insurance under the direction of Travel Guard, Allianz, or Chubb, as well as offerings provided by travel wholesalers. Purchasing a travel protection plan is not required; however, it is highly recommended that travelers purchase a travel protection plan.


TERMS & CONDITIONS

Client authorizes Quality Travel to act as my adviser for the airline, tour operator, supplier, cruise line, or other supplier as indicated in the documents, brochures, correspondence, or other communication that will be used for travel. The client understands these suppliers are responsible for providing the travel services purchased. Client consents to the use of those suppliers. Client accepts that Quality Travel is NOT responsible for nor will client attempt to hold it liable for any injury, damage, or loss suffered for any conditions, actions, or omissions that are beyond the reasonable control of Quality Travel.


Client understands that if traveling internationally, all persons must have a valid passport book. Client understand that a passport card is not valid for air travel. Depending on the destination and the origin of the client passport, guests may need to obtain a visa. Proof of citizenship is required for travel outside of the United States.


Quality Travel warrants and declares that every effort will be made to provide the best prices available for the travel components that you request. In the unlikely event that a catastrophic situation should occur to redirect or reschedule your travel plans and the supplier is unable to provide the client with the agreed-upon travel services and/or products, Quality Travel is not responsible for any loss or damages, emotional or otherwise. Quality Travel, as your contracted travel advisor, will make a reasonable effort to rebook the redirected client to assist with comfort and safety.


The client agrees to review and agree to all the terms, conditions, and penalties of the suppliers. Client will review the travel documents upon receipt for accuracy. Client may contact Quality Travel with any questions or concerns.


Client agrees that Quality Travel is not responsible for, nor will I attempt to hold it liable for, any illness, injury, damage, or loss I may suffer on the account of any conditions, actions or omissions that are beyond reasonable control. I agree that this disclaimer includes the entire traveling party, and that in the event of any disputes, a maximum penalty is not to exceed the total earned by Quality Travel in the original transaction.
